These Terms and Conditions of Sale apply to purchases from NordX Adventures Oy. Any booking implies acceptance of these terms.

Guided group trips and multi-day expeditions are accompanied by an experienced guide on fixed or proposed dates, with practical information, participation conditions and prices shown on our website or in your proposal. Trips are open to minors accompanied by an adult, provided they meet the physical requirements.

Customized trips are tailored with our team. You can request a quote via our website, email or phone. Quotes are valid for 15 days from issuance unless otherwise stated.

Day tours and excursions lasting less than 24 hours and without overnight accommodation are guided by professional local guides and include transportation or activities as described in each listing. Unless otherwise specified, the same general terms apply.

You can express interest without financial commitment by submitting an inquiry. An inquiry does not guarantee booking or price validity.

For multi-day and customized trips, registration is confirmed upon receipt of a completed, dated and signed registration form and a non-refundable deposit of 35% of the total amount, or full payment if booking within 45 days of departure. The group organizer is responsible for communicating all information and these terms to participants.

For multi-day trips, participants must also sign a liability waiver before departure. Refusal to sign may result in exclusion from the trip without refund.

Day-tour bookings are confirmed through our booking partner once full payment is accepted. Day-tour bookings are personal and non-transferable unless otherwise approved in writing.

For multi-day and customized trips: more than 45 days before departure, a 35% deposit is due at registration and the balance is due 45 days before departure. Within 45 days of departure, full payment is required at registration. Late payments may be treated as cancellations, with the corresponding fees applied.

Payment in installments may be available on request for trips exceeding €1,500, typically divided into 35% at registration, 35% 60 days before departure, and the balance 30 days before departure.

For day tours, full payment is required at the time of booking. If payment is not received, the reservation may be cancelled without notice.

For multi-day and customized trips, cancellation fees are calculated on the total trip amount as follows: up to 31 days before departure, 35%; 30 to 21 days before departure, 50%; 20 to 8 days before departure, 75%; less than 7 days before departure, 100%. External fees such as transportation, visas and insurance arranged outside NordX are non-refundable.

Day tours may be cancelled up to 24 hours before departure for a full refund unless the booking confirmation states otherwise. Cancellations made less than 24 hours before departure, or no-shows, are non-refundable.

Changes such as date or name changes for multi-day trips may be possible depending on availability. Fees of €50 per change up to 31 days before departure, or €100 per change less than 31 days before departure, may apply. Major itinerary changes are evaluated case by case and may incur additional fees.

In cases of force majeure, severe weather, safety concerns or insufficient participants, NordX Adventures Oy may cancel or materially change an activity. In such cases, clients may choose between a suitable alternative, rescheduling, or a refund of payments made to NordX Adventures Oy as described in the confirmation. External fees arranged outside NordX are not reimbursed by us.

For day tours, in case of extreme cold below -20°C, NordX Adventures Oy reserves the right to cancel participation for children under 12 years old for safety reasons. A full refund will be issued for the affected children. Parents or accompanying adults may still participate. Participants will be notified as soon as possible if the tour is affected.

Prices for guided group trips are per participant based on the minimum number of participants specified in the offer, unless otherwise stated. Customized trip prices are detailed in the personalized quote.

Prices include and exclude specific services as detailed in the trip or tour description. Participants are responsible for flights and external costs such as visas and insurance unless these are expressly included.

Day-tour prices shown on our website are final and include taxes and services listed in the description. They do not include optional add-ons such as meals, transfers or equipment rental unless specified.

For multi-day programs, if cost variations such as fuel or exchange rates exceed 10%, price adjustments may apply up to 20 days before departure, with reasonable prior notice.

Each participant must ensure that travel documents such as passports and visas comply with destination requirements. No refunds will be issued for non-compliance.

NordX Adventures Oy does not provide insurance directly. Participants must secure adequate insurance before departure, including medical and repatriation cover, trip cancellation where relevant, and cover for the planned activities. Proof of insurance may be requested, and NordX Adventures Oy reserves the right to deny participation in case of non-compliance.

Participants must ensure their fitness for the activity, bring appropriate clothing and equipment, follow safety rules and guide instructions, behave respectfully towards others and the natural environment, and follow the defined itinerary. Deviations are at the participant’s own responsibility and expense.

Outdoor activities such as skiing, snowshoeing and snowmobiling involve inherent risks. Guides prioritize safety and may adapt routes, timing or stop an activity when weather, terrain, ability or behavior creates a safety concern.

Participants must arrive at the meeting point at least 10 minutes before the scheduled departure time. Later arrival may result in exclusion from the tour without refund.

Trips are generally limited to 10 participants unless otherwise stated in the offer.

Arctic weather, snow and access conditions change quickly. Published itineraries are examples and may be adjusted without reducing the essential character of the experience. Northern Lights and specific wildlife sightings cannot be guaranteed.

NordX Adventures Oy is not liable for unforeseen events outside its reasonable control, such as weather or political unrest, or for a participant’s physical inability to complete the trip. Certain activities may be provided by independent contractors, whose terms may also apply.

Compensation is limited to amounts paid to NordX Adventures Oy. Indirect damages are not covered, to the extent permitted by applicable law.

Finnish law applies. Disputes will be settled in Finland.

Please report issues as soon as possible using the contact details provided with your booking. Post-trip complaints should be submitted within 30 days with supporting documents. We aim to respond to complaints and suggestions within 10 business days.

Personal data is handled in accordance with our Privacy Policy. Unless you refuse in writing before departure, NordX Adventures Oy and authorized partners may use photos and videos taken during activities for promotional purposes.

Where applicable, customers of package travel services are protected under Directive (EU) 2015/2302, including the right to clear pre-contract information and insolvency protection.
